How Jobseed collects, uses, stores, shares, and protects customer and Google Calendar information.

Last updated: October 20, 2026

Information collected

Jobseed collects information needed to create and secure accounts, prepare estimates, coordinate work, communicate with customers, and maintain service records. This may include names, email addresses, phone numbers, user and company identifiers, property addresses, service notes, estimate and job history, photos, files, signatures, schedules, employee time entries, messages, invoices, payment status, payment-method identifiers and summaries such as brand and last four digits, financial records, workflow and consent audit events, and technical diagnostics.

How information is used

Customer information is used to prepare and send estimates, provide approval links, schedule work, send invoices, answer questions, maintain service history, and support requested customer communication.

When a customer opts in to SMS, Jobseed may send transactional text messages through Jobseed about estimates, scheduling, job updates, invoices, payment links, payment reminders, and customer-care replies.

SMS consent and mobile data

SMS consent is optional. Consent to receive text messages is not a condition of purchase.

No mobile information will be sold or shared with third parties or affiliates for promotional or marketing purposes. SMS opt-in data and consent records will not be shared with third parties for unrelated purposes.

Mobile data may be shared with service providers, phone companies, and platform vendors only as needed to deliver the requested SMS program, operate Jobseed, comply with law, or protect security.

Google Calendar data

When an authorized Jobseed user connects Google Calendar, Jobseed reads the list of that user's calendars and the events on the calendars the user selects, so the Jobseed schedule can show availability and the user can start an estimate from an appointment. Jobseed creates, updates, and deletes the job and appointment events it schedules on those calendars and, when the user chooses, creates dedicated crew or sales calendars in the user's Google account. When a user moves Jobseed's calendars to another Google account they connect, Jobseed creates matching calendars in that account and copies their scheduled work and saved event details there. The original account's calendars are left as they are.

Jobseed stores the connected Google account email address, an encrypted access token, the calendars the user linked, and the details of calendar events Jobseed reads or creates on those calendars (such as title, time, location, and description) so the schedule stays available and in sync inside Jobseed.

Google Calendar information is available only to authorized users of the same Jobseed business account. When a user assigns a Google calendar as a crew or sales calendar, Jobseed gives that business's own team members, such as office staff, salespeople, and crew, read-only access to that calendar in Google Calendar so they can see their assignments. Jobseed does not sell Google user data or share it with other third parties, except service providers that host and operate Jobseed, as needed to provide the service, comply with law, or protect security.

Jobseed does not use Google user data for advertising, to build advertising profiles, or to develop, improve, or train generalized artificial intelligence or machine learning models.

Users can disconnect Google Calendar from Jobseed account settings or remove Jobseed's access from their Google Account permissions page. Disconnecting deletes the stored access token and stops Jobseed from reading or changing that user's Google calendars. Jobseed keeps stored Google Calendar information only while it is needed to provide the service to the business and deletes it on request to support@jobseed.app.

Jobseed's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including Limited Use requirements.

QuickBooks Online accounting data

When an authorized Jobseed user connects QuickBooks Online, Jobseed may send accounting-related records to QuickBooks, including customer contact details, invoice summaries, invoice totals, tax references, payment records, paid installment records, and related Jobseed record identifiers.

Users can pause or disconnect QuickBooks sync from Jobseed Settings > Accounting. Records already created or updated in QuickBooks remain controlled by the connected QuickBooks company.

Phone alerts, updates, and imports

Phone alerts request notification permission after sign-in. If allowed, Jobseed associates the device push token with the signed-in user and sends alert text and the destination page through Google Firebase Cloud Messaging on Android or Apple Push Notification service on iPhone. Account > App notifications turns alerts off for that device; an offline request finishes when the device reconnects.

The phone app checks Capgo for app updates using a per-install identifier, app and bundle versions, platform, and technical device information. Capgo usage and error statistics are disabled. Update checks still contact Capgo to deliver compatible app updates.

When a company enables email forwarding or imports, Jobseed processes the messages, senders, recipients, attachments, files, client details, schedules and financial records submitted for that workflow. Connected Google Calendar events are stored to support scheduling. Google Maps receives address searches and map requests. These features are optional; imports and forwarding can include information about clients who are not Jobseed account holders.

Location, photos, and diagnostics

When an employee chooses to clock in or out, Jobseed may request the device's precise location and save the coordinates and accuracy with that time entry. Jobseed does not collect background location or use location for advertising or tracking.

Employees may choose or capture jobsite photos and files to attach to estimates, jobs, and invoices. If reliability diagnostics are enabled, Jobseed may collect crash reports and technical context linked to the signed-in account so errors can be diagnosed.

Service providers and connected services

Jobseed uses service providers only to operate requested features, secure the service, and support the business workflow. Depending on the features a company enables, data may be processed by hosting and object-storage providers; Stripe for payments; Google Maps or Azure Maps for map and address requests, and Google Calendar; Intuit QuickBooks; Telnyx for calls and text messages; Resend for email delivery; Gusto for payroll-related connections; Sentry for diagnostics; Capgo for phone app updates; and Apple or Google for push delivery.

These providers process data under their own terms and Jobseed's agreements with them. Jobseed does not sell personal data, use it for third-party advertising, or track users across other companies' apps or websites.

Jobseed Import Helper for Chrome

The optional Jobseed Import Helper retrieves exports from a business app you choose, for a one-time migration. Before retrieval, you approve browser access and data sharing in Jobseed, then choose Start in the helper. The Jobseed import page can send a short-lived pairing request directly to the installed extension, including the intended company and old-app website, without using your clipboard. The request stays in extension memory until it is used, cancelled or expires; it is not placed in browser history. Manual pairing remains available and requires approval in the helper. It opens a dedicated tab in your existing Chrome profile and uses Chrome's debugger permission to inspect that tab, perform checked navigation and export actions, and capture original export files. It does not read your browsing history or inspect unrelated tabs.

Outside recognized sign-in and verification screens, the helper sends page addresses without query strings, page titles, up to 22,000 characters of visible page text, and information about visible controls to Jobseed. Jobseed sends these observations, recent action labels, and downloaded file names and sizes to OpenAI to choose the next retrieval step. This page text is not masked: it can contain client names, contact details, addresses, service notes, invoices, prices, balances, or other business information visible on that page. This is different from the privacy-filtered column samples used by the separate import column helper.

You sign in directly to the old app. The helper does not collect typed input values and suppresses observations on recognized password, verification, recovery-code and CAPTCHA screens. Do not enter credentials in Jobseed or the helper. Your existing browser sign-in cookies remain in Chrome; the helper does not transmit those cookies to Jobseed or OpenAI. Exports containing business and financial records are transferred over HTTPS to Jobseed for review. This retrieval feature sends OpenAI page observations and export metadata, not the downloaded file bytes.

Temporary captured file bytes and the connection token are held in memory or Chrome's session storage while retrieval runs. The helper clears them when retrieval ends or is stopped, and a worker restart stops an active retrieval. After success, the helper keeps only the Jobseed website, review batch identifier and file names in trusted Chrome session storage so its completion screen and review link survive worker restarts. This summary is cleared when you choose Start another retrieval or the browser session ends. Chrome sign-in cookies and files saved to Downloads remain on your computer. Jobseed removes temporary server export bytes and action state when the retrieval finishes or expires. Session metadata, the retrieval report, and copies already saved in a review batch or imported business records remain subject to the retention policy below. Stopping retrieval or uninstalling the extension does not delete those saved records.

A small progress box on the retrieval tab shows a generic stage and file count. It does not show company or client details, file names, pairing codes or connection tokens. Only authorized users of your Jobseed company can review its migration data. Nothing is imported until a user confirms the review. You can stop retrieval, remove the extension, or revoke AI data sharing from Account settings. To request deletion of saved migration data, contact support@jobseed.app from your business account; business or legal retention requirements may apply.

Jobseed uses extension-derived information only to provide and secure the requested migration, and transfers it to hosting providers and OpenAI only as needed for that purpose, or as required for security or law. Jobseed does not sell this information or use it for advertising, creditworthiness decisions, or training generalized AI models. Staff access is limited to support with your consent, security investigations, or legal requirements. Jobseed's use and transfer of information received through the extension complies with the Chrome Web Store User Data Policy, including its Limited Use requirements.

Jobseed Helper: website updates

The same optional Jobseed Helper can update the estimate request buttons on your company website when you choose Use AI on Chrome in Jobseed's website check. It works only on WordPress sites, only after an authorized admin, office user or owner starts it in Jobseed, and only in a dedicated tab it opens. You sign in to your website yourself; the helper does not read or type passwords and pauses on sign-in and verification screens.

To find your request buttons, the helper sends Jobseed the address of the page it is on (without sign-in tokens or one-use codes), the page title, up to 16,000 characters of visible page text, and information about visible controls on the allowed editing screens of your website. Jobseed sends that information to OpenAI to choose the next step. Page text is treated as information, never as instructions.

Before each change, Jobseed shows authorized users of your company a screenshot of the item and what will change, and the helper makes the change only after a user chooses Change it. It can enter only your company's Jobseed request page link, or its embed code, into the link box of the approved item. It never opens plugin, theme, user or settings screens and never deletes content. Screenshots are shown only in Jobseed, are never sent to OpenAI, and are deleted when the update ends or within 45 minutes.

After the changes, Jobseed checks your public website and can send one test request through your request form. A test request is labelled Test, sends no messages, is not counted, and is deleted automatically after 24 hours.

Third-party AI features

Before Jobseed first shares information with OpenAI for a user, Jobseed shows an affirmative permission request. If the user allows it and then chooses an AI feature, Jobseed may send the prompt, text selected for rewriting, current page text and record details (including visible labels, field values and controls for the screen assistant), recent assistant messages, service-category examples, or import file names, column headers, and privacy-filtered small sample rows needed to answer that request. Depending on the selected content, this can include client names, contact details, addresses, job notes, pricing, or other business data; Jobseed masks common personal and financial values in import samples before transmission.

Optional voice sends microphone audio to OpenAI after the user accepts the audio notice. Consultation mode also requires acknowledgment that participants agree. Jobseed does not save an audio recording; consultation transcripts and AI notes are saved and can be removed through consultation controls. New company consultation retention defaults to 90 days without activity and can be changed by an administrator; existing company settings are preserved. Saved estimate work and separate assistant conversations have their own retention.

OpenAI processes this information to generate the requested reply, rewrite, draft, or import guidance. Jobseed sends Responses API requests with application-state storage disabled and does not share AI request data for advertising or cross-app tracking. OpenAI states that API data is not used to train its models unless the API customer opts in, but API prompts and responses may be retained in abuse-monitoring logs for up to 30 days by default, subject to OpenAI's controls and legally required exceptions.

Users should only use AI with information they are authorized to share. Permission can be revoked from Account > AI data sharing; revocation stops future OpenAI requests and requests closure of active voice calls. Failed provider closures are retried. The rest of Jobseed remains available.

Retention, deletion, and user choices

Jobseed keeps account and operational records while an account or company workspace is active and retains some business, accounting, security, and legal records when required. Historical records may keep an anonymized Deleted user reference for business continuity, accounting, fraud prevention, or legal obligations.

Users can correct profile details in Account settings, revoke OpenAI data-sharing permission, disconnect optional integrations, withdraw optional notification permissions in device settings, and request account deletion in Jobseed or from the public account deletion page. A sole-administrator workspace request may take up to 30 days while Jobseed verifies whether the workspace should be transferred or deleted.

Updates and contact

Customers and Jobseed users can request updates to contact details, privacy choices, or communication preferences by contacting Jobseed. For SMS help, reply HELP or contact support@jobseed.app or 425-443-4961.
